We are an award winning civil and structural engineering consultancy who recently won the NCE ‘Best Place to Work’ Award. We’re looking for an Executive Administrator to join our team. This is a key position within the London studio as you will provide administrative support to our directors and leadership team. No two days are the same; you must have an ability to anticipate needs, operate proactively and be able to prioritise tasks. This is a full time role and the ideal candidate will work in the studio for 4 days of the working week.
The following roles and responsibilities are studio based:
- Managing director calendars and diary management
- Set up and attend director meetings, recording actions and distributing minutes
- Processing Director timesheets
- To ensure all meeting rooms are properly set up for Director meetings and have the technology in place where required, liaising with the meeting holder and other key parties
- Manage food and drink requirements for Director meetings
- Printing, scanning and document control for Director team
- Record expenses and account for credit card spending for MD and CEO
- Arranging travel and booking accommodation on Trainline and Roomex for MD and the Executive team
- Monitor and triage MD emails, typically once per day
- Assist with leave or absence cover to studio administrator, from time to time with general studio administrative tasks
- Liaising with specific clients – maintaining relationships alongside nurturing new ones
- Strong working relationship with other departments across the practice

Experience/Qualifications Required:
- Experience of working in an open-plan, dynamic office environment
- 2 years + experience in a similar executive administrative role
- Experience of customer/ client facing role
- To be computer literate, including MS Office, Excel, Outlook and PowerPoint
- Professional but friendly telephone manner
- Experience of organising meetings/events and coordinating diaries
