Studio Manager

This is a senior role based in our Manchester and Leeds Studios, with responsibility for managing the day-day running of the Studios and the support team.

As Studio Manager you will be expected to create an organised, efficient and comfortable studio environment for employees, clients, collaborators and visitors. You will also liaise closely with the business support teams in our London and Glasgow studios.

The studio management aspects of the role will include taking the lead on facilities management and health and safety, including implementing and maintaining our Covid Secure measures.

You will have business /studio administrative support in your team and will be expected to work with them to coordinate all aspects of facilities management, welfare and business support. This role is Studio based.

Day-to-day task and expectations

The following roles and responsibilities are studio based:

  • Lead on planning, implementing and maintaining processes and systems to promote an efficient working practice
  • Maintain an overview of all studio operations, resources and marketing materials
  • Monitoring studio contracts including insurance documents
  • Identify and maintain risk management procedures
  • Contribute to management meeting, training groups and strategic thinking
  • Supervision of support staff, contractors and work experience students
  • Project manage the expansion or move of the Manchester studio, plus configuring the Leeds studio
  • Lead on storage of Important documents (eg contracts, leases) and archiving
  • Part-time on-site presence In the Leeds Studio (1 day a week)
  • Identify and drive improvement and cost savings in studio systems, suppliers, facilities management
  • Attend fortnighty leadership meetings (VIPER) providing updates to the Directors on Studio matters
  • Oversee the ISO:9001, 45001 process for Civic North ensuring compliance and appropriate quality and Health & Safety standards are maintained
  • Lead co-ordination and attendance of business development studio events/ (target of x events per month, to be agreed with Directors)
  • Plan and organise CPD and other learning events for Civic North
  • Responsible for the managing the annual Studio Budget

In conjunction with the Studio Coordinator

  • Meet and greet visitors, extending the warmest welcome
  • To manage key office supplies, such as stationery and kitchen goods
  • Ensure all meeting rooms are properly set up and have the technology In place where required, liaising with the meeting holder and other key parties
  • Oversee any central studio facilities, such as kitchen equipment, utilities, plants and cleaners
  • Manage food and drink requirements (for meetings and regular studio requirements)

The following roles and responsibilities can be carried out either in the studio or remotely:

In conjunction with the Studio Coordinator

  • To answer the telephone, field calls, take messages and pick up any overflow calls
  • To coordinate the room booking process
  • To coordinate diaries for board meetings
  • To coordinate studio and group diary management (studio briefings, leadership days, etc)
  • Ad hoc administration duties
  • Coordinating full time on-site presence In the Manchester studio

Experience/Qualifications Required:

  • MS Office skills
  • Management experience
  • Facilties Management experience
  • Project Management experience
